Rapidly growing Golden Malted® is hiring an experienced Administrative Assistant/Order Processor at our South Bend facility.  This is a non-exempt and full-time position.   Shift is Monday through Friday, 8:00 am to 4:30 pm.

Our waffles are distributed to several countries including Australia, Canada, England, Germany, Greece, New Zealand, South Africa and Sweden.

The Order Processor coordinates and fulfills daily shipping requests from International distributors and customers.

Essential Functions:

  • Support International Operations Manager
  • Receive, analyze and process orders generated from International distributors and customers
  • Ensure terms and delivery information are correct
  • Ensure all required International shipping documentation is correct
  • Respond to internal questions and issues related to orders
  • Assist the Operations team to meet delivery deadlines
  • Coordinate and communicate with freight forwarding companies to insure timely shipment and delivery
  • Process required post-shipment customs documentation and provide to customers after order ships (country specific) 
  • Account management (A/R, Billing, Collections)
    • Timely invoicing to customers once order has shipped
    • Monitor payment notices and advise Accounting how payments are to be applied
    • Follow-up with customers on any past due account balances
    • Maintain and update as needed customer information in Company software system
  • Provide feedback on potential systems modifications and process improvements
  • Provide proactive communications and solutions for distribution issues
  • Maintain contact with all customers to ensure high levels of customer satisfaction
  • Lead by example in the areas of personal character, commitment, organizational skills, and work habits
  • Accept and assume responsibility and follow-up with all direct customers
  • Cross-train with the Equipment and Retail support positions
  • Other duties as assigned

Required Education/Experience:

  • A minimum of 2 year’s Customer Service and/or Accounting experience
  • High School Diploma / GED or equivalent
  • Advanced Experience within Microsoft Office
  • Microsoft Dynamics (Great Plains) and Microsoft CRM experience preferred
  • Logistics and/or International experience helpful
